Are you an experienced executive support professional who thrives in fast‑paced, high‑trust environments? We are seeking a highly capable admin all-rounder with exceptional communication skills and the ability to manager competing priorities.
This is a pivotal role supporting executive leadership, governance, compliance, and organisational communications, requiring discretion, sound judgement, and exceptional organisational skills.
In this role you will be responsible for the smooth and professional operation of executive and board functions. You will work closely with senior leaders, Board members, and key stakeholders, ensuring they are well‑prepared, informed, and supported at all times.
Key Responsibilities
Executive & Strategic Support
- Provide high‑level day‑to‑day executive support to the executive team
- Ensure executives are fully briefed and prepared for meetings, events, and public engagements
- Support executive communications, including internal messaging, correspondence, and stakeholder updates
- Exercise absolute confidentiality and discretion when handling sensitive information
- Proactively manage urgent matters, last‑minute changes, and issue escalation
Governance & Board Support
- Prepare board papers, agendas, presentations, and briefing materials
- Attend and minute monthly Board meetings, ensuring accurate and timely distribution of outcomes
- Coordinate governance calendars, meeting schedules, and documentation workflows
- Liaise with Board members and external stakeholders to support strategic engagement and follow‑up
Compliance & Corporate Support
- Assist with contract and lease interpretation and support compliance with state and national Motor Dealers legislation
- Support document control, version management, and organisational systems
- Contribute to grant and funding application preparation
- Promote best practice privacy, confidentiality, and compliance standards
Communications, Events & Travel
- Develop high-quality promotional materials and reports
- Coordinate corporate events, conferences, and stakeholder engagements
- Oversee professional dissemination of executive communications across internal and social platforms
- Arrange domestic and international travel for senior executives, ensuring cost‑effective and seamless coordination
About You
You are a confident, proactive professional who can operate autonomously while supporting multiple executives. You bring:
- Exceptional organisational and time‑management skills
- High‑level written and verbal communication abilities
- Proven experience supporting executives and boards
- Advanced Microsoft Office skills (Word, Excel, PowerPoint, Publisher, Copilot)
- Strong working knowledge of SharePoint and Microsoft Teams
- A professional, calm approach under pressure and changing priorities
- A strong understanding of confidentiality obligations and the Privacy Act
